A successful ERP kickoff meeting strengthens the project's foundations and keeps the whole team focused on the same goal. Here is how I manage this process.

A successful ERP kickoff meeting strengthens the project's foundations and ensures the entire team is focused on the same goal. I would like to share with you how I manage this process.
Introducing the Project Team and Stakeholders
When you start an ERP project, the first step is to introduce your project team and all other stakeholders. This introduction forms the cornerstone of the project. Defining who the team members are, their roles and responsibilities helps everyone understand what to expect. Coming together and meeting face to face builds trust and facilitates communication.
In addition, each stakeholder attending the kickoff should share what they will contribute to the project, the risks they foresee during the project, their assumptions and expectations. In this way, we can clearly understand stakeholders' expectations and contributions and be better prepared for potential risks as the project progresses.
Explaining the Methodology and Module Rollout Processes
The next step in the meeting is to explain how the project will proceed, which methodology you will use, and the module rollout processes. This stage ensures that each member of the team understands the processes and stays focused on the same goal. In particular, it is important to clearly set out which phases the project will go through and what will be done at each phase.
Draft Project Plan and Scope Definition
At the kickoff meeting, it is very important to detail your draft project plan and the project scope. This defines the outline of the project and its key milestones. Scope meetings with the client create reference points for the project's progress. At this stage, we ensure the whole team is on the same page by detailing the process from project start to finish.
Introducing the Consulting Team and Project Organization
Introducing the consulting team and project organization is also an important step. Clarifying who is in which role and who bears what responsibility prevents confusion during the project. In addition, defining how the team will work and communicate throughout the project increases efficiency.
Defining Success Criteria
Defining what success looks like is critical for every project. At the kickoff meeting, we define the project's success criteria. We emphasize that the project must be owned by all stakeholders, the importance of top management support for the project, and that scope management is critical. A successful project is one where everyone allocates the necessary time, there is no negative lobbying, and top management is actively involved in the project.
Project Planning
At the kickoff, it is also important to convey to stakeholders how project planning should be done. We explain how we will start analysis work and requirements gathering, how we will analyze business processes in detail, and how we will define the project scope. We describe the process of creating the project schedule and defining phases and milestones. At this stage, we share with stakeholders the processes of defining and prioritizing activities and stress the importance of obtaining client approval.
Project Execution
At the kickoff we also plan the project execution process. At this stage, we explain how we will implement the planned activities, how we will provide resources, and how we will manage stakeholder involvement. We convey to stakeholders how to track the project plan, prepare user documentation, conduct training, and how change management will be carried out.
Monitoring and Control
In the monitoring and control phase, we explain how project plans and work will be monitored and controlled. We detail how scope, time and cost variances will be controlled, how project evaluation will be carried out in line with the communication plan. We share with stakeholders how change requests will be managed and how testing will be performed.
Closure
We also explain at the kickoff what will be done in the project closure phase. We describe how the final conceptual design and lessons learned will be updated, how the project or phase will be closed, and how the success story will be created. We convey to stakeholders how closure and handover documents will be prepared and explain the process of formalizing project completion.
Support
We address at the kickoff what will be done in the support phase after the project. We detail how the project charter will be updated, how stakeholders will be informed, how the change control board will be established, and how module evaluations and training plans will be carried out.
Change Management
Change management processes must be carefully followed from approval of the project scope through to project closure. Change requests are managed and evaluated via a change request form completed by the client project manager.
Communication Management
Communication between project managers is ensured through regular meetings and planning. Stakeholder management is the responsibility of project managers, and an effective communication strategy must be applied at all stages of the project.

Starting an ERP project well is very important. Every step taken at the outset will be an input to the project life cycle. A good kickoff meeting lays the foundations needed for the project to progress healthily. Making a solid start for the project to succeed minimizes problems that may be encountered later and keeps the whole team focused on the same goal.
